SGA Appropriations Process and Guidelines  

Applications for the 2026-2027 academic year will open on August 1, 2026. The SGA Appropriations Committee will begin reviewing submitted applications in September 2026. For additional information regarding application deadlines, review periods, and funding decisions, please refer to the timelines listed below.

Student Organization Appropriations

This appropriation is intended to support student organization events and activities that enhance the UT San Antonio Health Science Center community. Proposed events or travel must provide a clear benefit to the university community. Examples include community service initiatives, educational programming, and global health experiences. Interprofessional and interdisciplinary programming is strongly encouraged. Applications involving students from multiple Health Science Center schools and promoting interprofessional education (IPE) may receive stronger consideration. Only student organizations, who are registered and in good standing with the Office of Student Life, may apply for SGA appropriations funding.  

A total of $1,000 may be awarded per organization. Up to 5 organizations can present their request at monthly SGA meetings. 

Professional Development Appropriation

This appropriation is intended to support activities that contribute to a student’s professional growth and career development. Because these opportunities typically involve higher costs, a limited number of awards are available and decided upon the conclusion of each semester.  The goal of these funds is to support students from all schools. Current SGA members (Representatives and Executive board members) cannot apply for these funds. 

A total of $250 may be awarded per student. Up to 10 students each semester.

Registered Student Organization Appropriations

This appropriation is intended to support student organization events and activities that enhance the UT San Antonio Health Science Center community. Proposed events or travel must provide a clear benefit to the university community. Examples include community service initiatives, educational programming, and global health experiences. Programs involving interprofessional education are encouraged and may receive stronger consideration. 

Application Process 

  1. Complete the SGA Appropriations Application in its entirety LINK. A total of $1,000 may be awarded per organization. Up to 5 organizations can present per month.  
  2. Application deadlines are as follows: 
    • Fall semester:  September 1, October 1, November 1 
    • Spring semester: March 1, April 1, May 1 
  3. A maximum of five applications will be reviewed at each meeting. If selected, your organization will be emailed with a virtual time-slot invitation the week before the SGA meeting with a designated presentation time. Please refer to this LINK for SGA meeting dates. 
  4. A representative from the student organization, who is not an SGA Executive Board member or SGA Representative, must attend the meeting and present the appropriations request with a 7-minute virtual presentation. The presentation should include the following if applicable: 
    • Purpose and benefit of event 
    • Planned promotion of event to multiple schools 
    • Funding efforts obtained from other sources or departments 
    • Breakdown of expenses 
  5. Representatives arriving more than 5 minutes late will forfeit their presentation. If a time-conflict was not previously notified, the organization will not be considered funding for the remainder of the academic year.  
  6. Applicants will be emailed by the Friday after the SGA meeting with either approval or denial. Funding requests require approval by a two-thirds (2/3) vote of the Appropriations Committee.  
  7. Following appropriation approval, organizations must submit the following to the Office of Student Life (SGA@uthscsa.edu) prior to beginning the reimbursement process. 
    • 3 photos of the event or promotional flyers (JPG format) 
    • 1-page essay describing the event and its impact on UTHSCSA. 12-pt font, double spaced (PDF format)

Reimbursement Process

All appropriations are distributed as reimbursements after eligible expenses have been incurred.  Within 30 days of the event or appropriations approval (whichever later), organizations must submit expense documentation via email to the Office of Student Life (SGA@uthscsa.edu). Itemized receipts should include the items purchased and method of payment. 

Professional Development/Career Enrichment Appropriations

This appropriation is intended to support activities that contribute to a student’s professional growth and career development. Because these opportunities typically involve higher costs, a limited number of awards are available and decided upon the conclusion of each semester. Students must be enrolled in one of the schools at the UT San Antonio Health Science Center campus. 

Eligible expenses may include: 

  • Registration, airfare, and lodging fees for conferences 
  • Educational workshops or certification courses 
  • Professional training opportunities 
  • Research or scholarly presentations 
  • Other career development activities approved by the Appropriations Committee 

Items not covered include: 

  • Food and beverage 
  • Gas costs for car travel 
  • Software, electronics 
  • Professional group memberships 
  • Tuition or fees from other academic institutions, including UT San Antonio 

Application Process

  2. Application deadlines are as follows: 
    • Fall semester: November 1 
    • Spring semester: March 1 
  3. Applicants will be emailed by the Friday after the final SGA meeting of the semester with either approval or denial. Funding requests require approval by a two-thirds (2/3) vote of the Appropriations Committee. No presentation will be required.
